A free Gmail address feels harmless — it works, it's familiar, it costs nothing. But "free" hides four real costs.
1. Trust is instant, or it isn't
Studies on consumer trust consistently show people rate name@yourcompany.com as more credible than a free address. It signals two things at once: this business invested in its identity, and this email genuinely belongs to the company. In quotes, invoices and first contacts, that credibility gap translates directly into response rates.
2. The address belongs to the person, not the business
When an employee leaves, their personal Gmail leaves with them — along with client threads, attachments and follow-ups. With domain email, the mailbox belongs to the company: you re-route it, archive it, or hand it to a successor. Continuity is a feature of ownership.
3. Deliverability favours authenticated domains
Free addresses can't carry your SPF, DKIM and DMARC records (see our plain-English guide). Mail sent "on behalf of" your business from generic addresses is easier to spoof and easier to junk. A properly authenticated domain builds sender reputation that compounds over time.
4. Control and recovery
Lose access to a personal Gmail — forgotten recovery phone, hijacked account — and there is no support line that knows you. With hosted email on your domain, your provider can verify you and restore access. Your business communications shouldn't depend on one person's recovery SMS.
What it actually costs
This is the part that surprises people: professional mailboxes start at a couple of euros per month. Against the cost of a single lost client thread or one impersonation incident, it's the cheapest insurance in your stack.
Making the switch without chaos
The migration fear is overblown. A proper setup keeps your old address receiving while the new one takes over, imports historical mail, and updates your signatures and profiles in one pass. A weekend, not a crisis.
We host mailboxes on client domains with all authentication configured, storage plans from 1GB to 25GB, and migration handled for you. One less thing running on a personal account.
